About the Law Firm

My client, is a specialist boutique law firm that work in the area of advanced trust and estate planning. They have 16 staff but are wanting to grow the practice to 25 over the next 3 years. This will make it the largest law firm in it's area of practice Australia wide.

The role

As a Practice Manager, you will be responsible for ensuring the smooth and effective operation of all administration functions of the business. You will work directly with the CEO to provide executive support on a broad range of business improvement projects, HR management and initiatives. It requires a person, who is organised, proactive, takes responsibility and is IT savvy.

You will coordinate, manage and execute across functions including HR, meeting with lawyers on budgets, recruitment, training and development, systems and process maintenance and improvement including IT (but note there is an outsourced IT provider for advanced issues), marketing and events, risk management and business continuity. The role also involves some financial oversite (expense and revenue budgets, forecasting) but does not involve bookkeeping (there is a dedicated bookkeeper).

The role is particularly suited to a candidate who has a combination of HR, finance and Excel/IT skills. The client has a number of automated processes and financial recording tools to speed up the time taken to analyse data. This is achieved through our practice management software 'LexisNexis: Affinity', PowerBI dashboards, Excel reporting in pivot tables, and the delegation of accounts access through CommBiz.

Your duties

The successful applicant will have strong people management and relationship building skills. In this context, you will take responsibility for:

  • all day to day practice management functions;
  • being the first port of call for HR, recruitment and IT;
  • managing and ensuring the smooth running of the firm's systems, workflows and compliance programs;
  • discussing budgets on a fortnightly basis with each lawyer;
  • managing external suppliers / stakeholders (IT, accountant, banks, insurers etc..);
  • co-ordinating training, firm events and conferences;
  • assisting the CEO to define and drive strategic and operational projects and initiatives; and
  • Utilising the client's management software (Lexis Nexis 'Affinity'), PowerBI dashboards and excel templates (which involve pivot tables and basic formulas).

Your experience

You will need to have tertiary qualifications in business management, HR or Accounting. You will also have a minimum of 5 years Practice Management experience within a legal practice. Current membership of ALPMA would also be highly regarded.
